Getting Started

Account Setup

Setting up your PropMaster account is the first step to streamlined property management. Follow these steps to configure your profile and company settings.

  1. Log in to your PropMaster dashboard.
  2. Navigate to Settings > Company Profile.
  3. Enter your company details, including name, address, and tax ID.
  4. Upload your company logo for branded reports and tenant portal.
  5. Configure your default currency and timezone.

Importing Data

Migrating from another system? You can easily import your properties, tenants, and lease data using our CSV import tool.

Pro Tip

Download our CSV templates before importing to ensure your data is formatted correctly. You can find these in the Import section of your dashboard.

Property Management

Adding Properties

Properties are the core of your portfolio. You can add single-family homes, multi-unit buildings, commercial spaces, or vacation rentals.

To add a property:

  • Go to the Properties tab in the dashboard.
  • Click the Add Property button.
  • Select the property type (Residential, Commercial, Vacation Rental, etc.).
  • Enter the address, basic details, and amenities.
  • For multi-unit buildings, you can bulk-create units during this step.

Unit Management

Manage individual units within your properties with ease. Track occupancy, set market rent, and manage amenities for each unit.

Maintenance Requests

Track and resolve maintenance issues efficiently. Tenants can submit requests through their portal, or you can create them manually.

Priority Levels

Assign priorities (Low, Medium, High, Emergency) to triage requests effectively. Emergency requests trigger immediate notifications.

Vendor Assignment

Directly assign work orders to your preferred vendors. Vendors receive email notifications with job details and access instructions.

Guest Safety & Agreements

Digital Guest Agreements

Secure your properties and revenue with legally binding digital agreements. This feature is essential for Direct Bookings and Mid-Term stays (Digital Nomads).

Why this is mandatory for direct bookings:

  • 1.
    Squatter ProtectionIn many jurisdictions, guests staying longer than 28 days may acquire tenancy rights. A signed fixed-term vacation rental agreement is your primary legal defense against squatters.
  • 2.
    Chargeback DefenseIf a guest disputes a credit card charge (chargeback), banks require proof of service. A digitally signed agreement with the guest ID and IP address is often the only evidence accepted to win the dispute.
  • 3.
    Damage RecoveryUnlike Airbnb/Vrbo which have "Host Guarantees", direct bookings rely on your contract. Our agreements explicitly authorize you to charge the security deposit for proven damages.

The system automatically:

  • Sends the agreement link immediately after booking.
  • Requires "Read & Sign" before releasing check-in instructions (door codes and Wi-Fi).
  • Captures E-Signature, IP Address, and Timestamp.
  • Stores the signed PDF in the booking record for easy retrieval.

Guest Identity Verification

Know exactly who is staying in your property.

  • ID Document Upload (Passport or Driver License)
  • Selfie Verification (Liveness Check)
  • Sex Offender Registry Scan (US Only)

Financials

Rent Collection

Automate your rent collection process. Set up recurring invoices and allow tenants to pay online via ACH or credit card.

The system automatically:

  • Generates invoices 5 days before the due date (customizable).
  • Sends payment reminders to tenants.
  • Applies late fees automatically based on your grace period settings.
  • Records payments and updates tenant ledgers instantly.

Expense Tracking

Keep track of every penny. Record expenses, categorize them for tax purposes, and upload receipts for safekeeping.

Recurring Expenses
